The question behind the brief
A physical dummy, sensory prototype, analytical sample and stability-study sample are not interchangeable. Specify the purpose before dispatch, including the version, quantity, evaluation method and any restrictions on use. A sample approval should say exactly what was approved. Passing a taste review does not mean a production process, shelf life or market label has been accepted.
Make the comparison useful
Consolidate feedback into a controlled record. Include the sample identifier, storage and evaluation conditions, observations, deviations from the brief and the requested changes. Prioritize the changes so the developer can distinguish a critical requirement from a preference. When a sample changes, keep the prior version and the reasons for the decision visible rather than allowing files and messages to drift out of alignment.
What to record
| Decision record | What the buyer should resolve |
|---|---|
| Purpose | Name the decision the sample is intended to support. |
| Identity | Record version, date, material and pack references. |
| Criteria | Use measurable physical and sensory evaluation items. |
| Feedback | Separate required corrections from optional preferences. |
| Approval | State the exact scope and remaining open decisions. |
Turn findings into an action
A sample becomes useful commercial evidence only when its identity, evaluation and approval meaning can be reconstructed later.
For this project, put each unresolved item into the brief with an owner and an approval point. Ask the developer to explain the sample or document that will close it. Where the evidence is incomplete, keep that limitation visible in the decision record rather than allowing an assumption to become a label statement. Revisit the record when ingredients, pouch material, packaging or the intended market change.
